Booking & Payment Terms
How Your Booking Is Confirmed
A booking with iLuxury Egypt is confirmed once you have reviewed and approved your final itinerary, including your travel dates, hotel or Nile cruise selections, guides, and all included services, and we have received the required deposit. A quotation, an initial conversation, or a verbal expression of interest does not hold pricing or availability on your behalf. Rates and availability are secured only once your deposit has been received and we have issued written confirmation by email or invoice.
Once your booking is confirmed, our team begins the work of securing every element of your journey. This includes reserving your rooms at each hotel in your itinerary, confirming your Nile cruise cabin, arranging domestic flights where needed, and booking the private guides, drivers, and any special permits required for the sites you will visit. Many of these arrangements are made directly with our partner hotels and suppliers on your behalf, often well in advance of your travel dates, which is why a confirmed deposit is the point at which we are able to move forward with certainty.
Deposit
To confirm your booking, we require a deposit equal to 30 percent of your total trip cost. This deposit allows us to begin securing your accommodations, transportation, and experiences with the confidence that your journey is fully committed on both sides.
For journeys booked during peak travel periods, including Christmas, New Year, and Easter, we require a higher deposit of 50 percent of your total trip cost. This reflects the stricter payment and cancellation terms that our hotel and Nile cruise partners themselves apply during these high-demand dates, when availability is limited and supplier commitments are made further in advance.
Final Payment
The remaining balance of your trip cost is due 60 days before your departure date. We will send a reminder well ahead of this deadline, along with clear instructions for completing payment. If full payment is not received by the due date, your reservation may be considered at risk, and the cancellation terms outlined below may apply, as our suppliers require timely payment to hold the arrangements made on your behalf.
If you are booking within 60 days of your intended departure, full payment of your total trip cost is required at the time of confirmation, since there is limited time remaining to secure services in stages.
Accepted Payment Methods
We accept payment by credit card and by bank transfer, whichever is most convenient for you. Card payments are processed through a secure, encrypted payment gateway, and a processing fee may apply, which we will always communicate clearly to you before you complete your payment. Any fees charged by your bank for an international transfer, including intermediary bank charges, are the responsibility of the traveler and are separate from your trip cost.
For your security and peace of mind, we will never ask you to send full card numbers, CVV codes, or other sensitive payment details by email, WhatsApp, or any messaging platform. All card payments should be completed only through the secure payment link provided directly by our team.
Cancellation and Refund Policy
We understand that circumstances can change, and we aim to be as fair and transparent as possible when they do. All cancellation requests must be submitted to us in writing, and the effective date of cancellation is the date on which we receive your written notice, not the date you first inform us verbally.
For bookings outside of peak travel periods, the following cancellation charges apply, calculated as a percentage of your total trip cost based on how close to your departure date the cancellation occurs. If you cancel more than 60 days before departure, your deposit is retained to cover the costs already committed to suppliers on your behalf, and any additional payments made beyond the deposit are refunded to you. If you cancel between 59 and 30 days before departure, 50 percent of your total trip cost is retained. If you cancel between 29 and 15 days before departure, 75 percent of your total trip cost is retained. If you cancel within 14 days of departure, or fail to arrive for your trip without prior written notice, your full trip cost becomes non-refundable, as by this point nearly all arrangements have been paid in full to our hotel, cruise, and guide partners.
Bookings made during Christmas, New Year, or Easter carry stricter cancellation terms throughout the cancellation window, reflecting the non-refundable commitments we are required to make with hotels and Nile cruise operators well in advance of these dates. The specific terms applicable to your peak-season booking will always be confirmed clearly in writing at the time you book, so there is never any ambiguity about what you are agreeing to.
Where a refund is due, it will be issued to your original method of payment. Please allow several business days for the refund to appear in your account, as processing times vary depending on your bank or card issuer. Any bank transfer fees, card processing fees, or non-refundable amounts already paid to airlines or other suppliers on your behalf are not included in the refunded amount, as these represent real costs already incurred in planning your journey.
Amendments to Your Booking
Travel plans sometimes need to change, and we are happy to help wherever we can. If you would like to adjust your travel dates, upgrade your accommodation, add an experience, or make any other change to your confirmed itinerary, please send your request to us in writing. We will do everything possible to accommodate your request, though changes remain subject to availability, the approval of our hotel and cruise partners, and any resulting difference in cost, which we will always explain clearly to you before applying the change to your booking.
Force Majeure
Neither iLuxury Egypt nor our suppliers can be held liable for delays, changes, or cancellations that result from circumstances genuinely beyond our reasonable control. This includes natural disasters, epidemics or pandemics, war, civil unrest, government-imposed travel restrictions, or official travel advisories issued for Egypt. Should such circumstances arise, we will work with you in good faith to reschedule your journey to a later date or to apply the payments you have already made as credit toward a future trip with us. Please understand that refunds in these situations are limited to the amounts we are able to recover from our own suppliers, many of whom have already been paid in advance to secure your original arrangements.
Chargebacks
If you ever have a concern about a charge related to your booking, whether about the amount, the timing, or the service delivered, we ask that you contact us directly first so that we can review the matter together and resolve it in good faith. We reserve the right to dispute any chargeback that we believe to be improper, particularly where it relates to services that were properly confirmed and delivered, or to charges applied in accordance with the cancellation policy you agreed to at the time of booking.
Travel Insurance
We strongly encourage every traveler to arrange comprehensive travel insurance before departure, covering trip cancellation, medical expenses, emergency evacuation, and travel delays, for the full duration of your journey with us. While we take every care in planning and delivering your trip, we are not able to cover costs that would ordinarily be protected by an adequate travel insurance policy.
